FAQ

Questions we are often asked

Booking and prices

Can I get an instant price online?

Yes. Enter the collection and delivery postcodes on Get a price and you see the price for each van size straight away, excluding VAT. Routes over 300 miles, Lutons, trucks, extra drops, dangerous goods and regular contracts are priced by the team, usually within the hour.

What is the difference between Ready now and Book in advance?

Ready now means the goods are ready and we send the nearest driver straight away, with collection within 30 to 60 minutes. Book in advance fixes a collection date and time slot for later. Both use the same online price.

Do your prices include VAT?

No. All prices on the website and on quotes are shown excluding VAT, and VAT is added at the standard rate on the invoice.

What is the reference I receive after booking?

Every enquiry gets a reference such as UPD-Q-261104-0001. Quote it when you call, message or ask for a proof of delivery and we find the job at once.

What happens if I cancel a booking?

No charge if you cancel more than 30 minutes after booking and the driver is not yet on the way. Within 30 minutes of booking the admin fee is £25, £50 once the driver is on the way, and the full price if the driver is on site. Truck cancellations are on a notice scale in our Conditions of Carriage.

Do you work for freight forwarders and other carriers?

Yes. We provide dedicated subcontract capacity across the UK, with a white-label option (unbranded drivers and paperwork) and your reference on our proof of delivery.

Collection and delivery

How quickly can you collect?

Within 30 to 60 minutes of booking for Ready now jobs, 24 hours a day, 7 days a week. Our drivers are based around Smethwick and the West Midlands, so collections further afield depend on where the nearest van is.

Where do you deliver?

Every UK postcode, from our base in Smethwick, West Midlands. We do not carry outside the UK.

Do you work nights, weekends and bank holidays?

Yes. We run 24 hours a day, 7 days a week, 365 days a year. The online price is the same at any hour.

Do I need a forklift at collection or delivery?

No. Every UPD Luton van has a tail-lift, so pallets and crates are lowered to the ground at the vehicle. Deliveries are to kerbside or the nearest safe hardstanding.

Who loads and unloads the goods?

The sender loads and the receiver unloads. Our driver helps where it is safe to do so. Loading or unloading loose items by hand is charged at £15 per hour for vans and £20 per hour for Lutons.

Do you charge for waiting time?

Yes. The first 30 minutes at each collection and delivery are free, then £15 per hour for vans and £20 per hour for Lutons. Rates for larger trucks are in our Conditions of Carriage.

Can I add an extra drop or collection?

Yes. Extra drops are £10 each for vans and £25 for Lutons outside London, £25 and £35 inside London. Each drop must be within 5 miles of the route, and the job is priced to the furthest drop. Ask the team when you book.

Vehicles and loads

What vehicles do you use?

25 of our own vans up to 3.5 tonnes, from small vans to curtain-sided and box Lutons. 7.5 tonne, 18 tonne and articulated trucks are available through our carriers network.

Will my goods share the vehicle with other loads?

No. Every job is dedicated: one load, one vehicle, never co-loaded. Your goods go straight from collection to delivery.

Can you move loads too big for a van?

Yes. For loads over 3.5 tonnes or more than a Luton can take, we arrange a 7.5 tonne, 18 tonne or articulated truck through our carriers network, under our contract and our proof of delivery. These jobs are quoted by the team.

How should my goods be packed?

Pallets wrapped and strapped, loose items boxed and labelled with the delivery address. Tell us the weight, dimensions and number of pieces when booking so we send the right van.

Do you do house moves?

Our work is business transport: pallets, parts, equipment and stock. We can carry boxed personal goods on a dedicated van, but we do not provide packing or a removals service.

Dangerous goods

Can you carry dangerous goods?

Yes. 4 of our drivers hold full ADR, and dangerous goods are carried in line with the UK regulations for the carriage of dangerous goods by road. They must be declared in writing before booking.

What do I need to tell you about dangerous goods?

The UN number, class, packing group and quantity, and have the Safety Data Sheet ready. Goods must be packed, marked and labelled to the regulations, with the transport document completed by the sender.

Is there an extra charge for dangerous goods?

Dangerous goods jobs are quoted by the team, not by the online price. Call 0121 663 7780 or send the details through the quote form and we come back with a price.

Tracking and proof of delivery

Can I track my delivery?

Yes. Every van is GPS tracked, so the office can give you the driver's position and expected arrival at any time. Call or WhatsApp 0121 663 7780 with your reference.

How do I get proof of delivery?

Every job has a photo POD and a signed POD, on paper and digital. Ask through the POD request page or quote your reference when you call or email info@uk-upd.co.uk.

How soon after delivery is the POD available?

The driver records the photo and signature at the point of delivery, and the office can send the POD the same working day.

Will you tell me when the goods are delivered?

Yes, on request. Tell us when booking and we confirm collection and delivery by email or WhatsApp.

Payment and accounts

Can I open a credit account?

Yes, for regular work. Apply through the Open an account page. Account terms are 30 days end of month, with invoices raised daily for completed work.

How do I pay without an account?

By bank transfer against the invoice before or on collection. Our bank details are on the Make a payment page at uk-upd.co.uk/pay. Card payment by phone is also available.

When do you invoice?

Invoices are raised and sent daily for completed work, with the proof of delivery, unless you ask for a weekly or monthly statement.

Can I get a VAT invoice?

Yes. Every invoice is a full VAT invoice showing the job reference, route, price excluding VAT, VAT and total.

What happens if an invoice is paid late?

Credit terms are withdrawn and all outstanding sums become payable at once. Interest and costs apply under the Late Payment of Commercial Debts (Interest) Act 1998.

Problems and claims

What insurance do you have?

Goods insured up to £1,300 per tonne under our Conditions of Carriage. A higher limit can be agreed in writing before transit for an extra charge. An insurance certificate is available on request.

How do I make a claim?

Email info@uk-upd.co.uk with the job reference, photos and evidence of the loss. Loss or damage must be notified in writing within 7 days of delivery and any other loss within 28 days.

What if the goods are not delivered?

Tell us within 48 hours of the expected delivery time and we trace the job straight away. Payment may be withheld for want of a proof of delivery only where non-delivery was notified within that time.

What if the delivery is refused or the address is wrong?

The driver calls the office at once and we contact you for instructions. Returns, rebooks and redeliveries are charged at the rate quoted at the time, and any waiting time applies.
